Police Verification for Tenants & Landlords in India – Complete Guide
Police verification of tenants is mandatory in many states under the local Rent and Police Acts. It helps maintain a record of who resides in rented properties and protects both landlords and tenants. Both landlord and tenant must cooperate for the process.
How to Complete Tenant Police Verification
- 1Step 1 – Collect tenant documents — Collect photocopies of the tenant's government-issued ID (Aadhaar, PAN, Passport, Voter ID), a recent photograph, and the signed rent agreement.
- 2Step 2 – Visit the local police station — The landlord must visit the jurisdictional police station with the tenant's documents and the rent agreement to fill in a tenant verification form.
- 3Step 3 – Online option (many states) — Several states — Delhi, Maharashtra, Karnataka, UP — offer online tenant verification through the state police portal. Search for '[state] police tenant verification' for the official link.
- 4Step 4 – Police verification process — Police will verify the tenant's address proof, check for any criminal record, and in some cases visit the property. The process typically takes 7–15 days.
- 5Step 5 – Receive acknowledgement — You will receive an acknowledgement or clearance certificate upon completion. Keep it for your records — it may be required if any dispute arises.
Documents Required for Tenant Verification
For Tenant
Government ID (Aadhaar/PAN/Passport/Voter ID), photograph (2 copies), previous address proof, contact number.
For Landlord
Property ownership proof, rent agreement (signed by both parties), own ID proof.
For Commercial Tenants
GST certificate, company registration, owner's ID, and a letter of authority if the occupant is an employee.
For Working Professionals
Office ID or employer letter confirming employment, in addition to the standard tenant documents.
Important Information for Landlords
- In many states, failure to report a new tenant to police is an offence punishable with a fine. Report within 24–72 hours of the tenant moving in.
- Online portals are now available in Delhi (delhipolice.gov.in), Maharashtra, Karnataka (kseboard.kar.nic.in) — check your state's portal.
- Tenant verification does NOT guarantee that the tenant is 'safe' — it only confirms their identity and checks for known records.
- For short-term rentals and paying guest (PG) accommodations, the same verification rules apply in most states.
- Keep a copy of the verified documents for at least 3 years after the tenant has vacated.
